How to manage Security Stock using the POS module

Generally:
- Counter staff will manage security stock on a per item basis: as a certificate is printed, they will record the security stock details.
- Mail room staff are more likely to manage security stock on a batch basis; that is, they will print a batch of certificates and then record the security stock details for all of the certificates in one go.

At the start of the day:
- Open the POS module and sign on to a Till.
- Select Stock>Start Day from the Menu bar.
The Issue Stock dialog box displays.
- Select the recipient of the security stock (you / your department) from the Please select distribution identifier drop list, e.g. Front Counter:
- Move the cursor to the next text box (press
TAB
or use the mouse). - You will have been issued with a batch of security stock. Scan the barcode of the first sheet of security stock you have been issued.
The cursor automatically moves to the next field ready for the next number to be scanned.
- Scan the barcode of the last sheet of security stock you have been issued.
The Issue Stock dialog box closes.
- Process the sale of a certificate.
- Save the record.
The Barcode dialog box will display:
- Move the cursor to the Please enter Vitalware barcode field (press
TAB
or use the mouse). - On the certificate, scan the Vitalware code.
The cursor automatically moves to the Please enter certificate code field.
- Scan the certificate code.
- Click Finished.
At the end of the day, be sure to:
- Select Stock>End Day from the Menu bar.
The Return Stock dialog box displays:
As before, select the recipient of the security stock (you / your department) from the Please select distribution identifier drop list.
- Move the cursor to the next text box (press
TAB
or use the mouse). - Of your remaining stock, scan the barcode of the first sheet of security stock you have been issued.
The cursor automatically moves to the next field ready for the next number to be scanned.
- Scan the barcode of the last sheet of security stock you have been issued.
The Return Stock dialog box closes.
- Sign off the Till.
At the start of the day:
- Open the POS module and sign on to a Till.
- Select Stock>Start Day from the Menu bar.

- Select the recipient of the security stock (you / your department) from the Please select distribution identifier drop list, e.g. Mail Room.
- Move the cursor to the next text box (press

or use the mouse). - Scan the barcode of the first sheet of security stock you have remaining.
The cursor automatically moves to the next field ready for the next number to be scanned.
- Scan the barcode of the last sheet of security stock you have remaining.
The Issue Stock dialog box closes.
- Process a batch of certificates.
- Sign off the Till.
The Barcode dialog box displays:
- Move the cursor to the Please enter Vitalware barcode field (press
TAB
or use the mouse). - On the first certificate, scan the Vitalware code.
The cursor automatically moves to the Please enter certificate code field.
Scan the certificate code.
The barcode fields clear, ready for the next certificate.
- Scan the codes for all remaining certificates and click Finished when you're done.
At the end of the day, be sure to:
- Select Stock>End Day from the Menu bar.

As before, select the recipient of the security stock (you / your department) from the Please select distribution identifier drop list.
- Move the cursor to the next text box (press
TAB
or use the mouse). - Of your remaining stock, scan the barcode of the first sheet of security stock you have been issued.
The cursor automatically moves to the next field ready for the next number to be scanned.
- Scan the barcode of the last sheet of security stock you have been issued.
The Return Stock dialog box closes.
If a printed certificate is damaged (misprinted, smudged, etc.) beyond use, it is necessary to record that it is void.
For example, you have processed a certificate purchase and printed it, but the certificate has been misprinted:
- Save the record.
The Barcode dialog box will display:
- Select an appropriate reason from the Void Reason drop list.
- Move the cursor to the Please enter Vitalware barcode field (press
TAB
or use the mouse). - On the printed certificate, scan (or manually key in) the Vitalware code.
If you scan the Vitalware barcode, the cursor automatically moves to the Please enter certificate code field.
If you manually key the code, hit
ENTER
to move to the next field. - Scan the certificate code (or manually key it in).
- Click Finished.
Note: In order to complete this process, both barcodes are required. In the event that a barcode cannot be read, click Void to complete processing.
